The qualified consulting firm is to provide all the necessary labor, research, and data required for the satisfactory procurement, configuration, and installation of meeting room equipment, as described in this RFP. The County intends to improve the technological capabilities of the Commissioners’ meeting space. We are looking to improve the experience for the public and enhance audio/visual systems and controls for hybrid (in-person and virtual) meetings. Products for procurement may include, but are not limited to: camera(s), microphones, audio controller(s), speaker(s), software, personal computer(s), amplifier(s), miscellaneous audio equipment, miscellaneous video equipment, acoustic equipment (dampening), cable management equipment, and other equipment as needed. Products that are to be procured, configured, and installed must be able to amplify the voices of County officials, amplify the voices of those providing public comment, stream audio and video via an online meeting platform (Zoom, Microsoft Teams, etc.), record audio and video, display video within the meeting room, and project the voices of online participants within the meeting room. The equipment utilized to provide these functions must operate seamlessly with each other in both an in-person and online format and must be simple enough to be operated by County employees with minimal training.
