The City of Greensboro (“City”) hereby solicits and invites proposals from qualified Companies and Businesses (“Contractor”), with proven experience and expertise, to submit a response to the requirements outlined in this RFP and provide pricing for routine maintenance (including replacing light bulbs) and repairs for ballfield and recreation area lights. The City of Greensboro has 35 fields. The selected Contractor(s) will enter into a contract service agreement with the City to cover the proposed scope of work outlined in Section (2) two of this RFP. The contract term will be for three (3) years. Services shall begin approximately on August 1, 2022 through August 1, 2025. . Contractor must have a licensed electrician on staff that is familiar with bulbs, capacitors, ballasts, controllers, oil switches, and all aspects of elevated and exterior area lights maintenance. Electrician needs to be license electrician contractor familiar with OSHA regulations. Proof of license will need to be provided before award. 2. Contractor must have staff capable to climb poles as needed to complete work. 3. Contractor must have license drivers on staff for cherry pickers, lift trucks or specialized equipment required to complete work. 4. Contract must have access to lift truck that is capable of reaching 115 feet. 5. Contractor must be able to respond if called during emergencies within 72 hours while no sporting events are occurring. 6. Contractor must maintain safety stock of certain light bulbs: 1000 & 1500 watt bulbs. 7. Contractor must list experience changing and repairing outdoor lighting. 5 8. Contractor must provide hourly rate for office hours (8 am to 5 pm), after hours (5:01 pm to 10 pm) and holiday hours. 9. Equipment should be clean (free of weed seed), well maintained and in good working order. In the event that equipment malfunction does occur, every attempt shall be made to remove equipment in a timely manner. If equipment malfunction results in leakage of lubricants and/or oils the contractor will be responsible for the immediate containment and clean-up of said lubricants and/or oils. 10. During and after maintenance, all areas should be left neat and clean. Precautions should be taken to avoid damage or injury to ballfield patrons, employees, equipment, vehicles, structures, existing trees and ornamentals. The contractor will be held responsible for all damage. All work shall be completed in a safe manner for operators, employees and visitors to the facility. 11. Contractors must haul off and dispose of all old or damaged parts. Not leave them on site. 12. All work should be performed in a manner that is safe to the operators, the occupants and any pedestrians and meet MUTCD standards for work zone safety and OSHA standards for personal protective gear. 13. All bids will require a minimum of three (3) contacts with address, contact name and phone numbers of businesses where contractor has done similar or equivalent work. All bids may be evaluated with emphasis applied on the following criteria: Price, Licenses, Qualifications, Work Quality and Responses of Work requests. City of Greensboro reserves the right to request and contact references. 14. Contractor must provide certificates of insurance with endorsements at the time of award with valid expiration dates. 15. Criminal/Sex Offender background check must be provided by the vendor on their employees and submitted within seven days of the bid award and on an annual basis to the Athletic Turf Superintendent. 16. Department of Recreation has limited annual funds for light maintenance. Questions due 7/1/22 at 2pm.
